Three public replies to a negative review: when the customer is right, when they are mistaken, and when the review is not from a customer.
A reply to a negative review is not really written for the person who left it. It is written for the dozens of people who will read both before calling you. What they look for is how calm you stay and what you offer, not who was right.
Reply within 48 hours, never in the heat of the moment, publicly first and then privately. An unanswered review suggests the criticism is fair; an aggressive reply proves it.
What always makes it worse
Replying within the hour while you are still annoyed. Arguing the details in public, invoices in hand. Posting the customer's contact details, address or what they paid: that is a serious mistake, and in some cases a legal one.
And never ask a customer to remove a review in exchange for a discount: most platforms prohibit it, and that kind of offer tends to end up in a screenshot.
Getting a fake review removed
On Google, flag the review from your Business Profile and pick the matching reason, such as fake review or conflict of interest. The public reply still matters in the meantime: it is what visitors read.
When to use it : A late arrival, something forgotten, a disappointing result. Owning it without excuses disarms people more than any explanation.

When the customer is mistaken on a point
When to use it : A misunderstanding about the price, the timing or what was included. Set the facts straight once, without sarcasm, and offer to talk.

When the review matches no customer
When to use it : A fake review or one left by mistake. Say so plainly, without accusing anyone, and report it to the platform at the same time.
