After a declined quote: 3 templates

Three messages after a customer says no: thank them, find out why, and reconnect at the right time without pushing.

A declined quote is not a closed file. The customer chose someone else this time, but they will have other projects, neighbors and a memory. How you take a no often matters more than the quote itself.

The goal is not to change their mind, it is to learn something and stay the next name they call.

Never cut the price after the fact

Offering a discount after a no teaches the customer that your first price was not the real one. If they declined over price, they will decline again on the next quote and wait for the discount.

Write down the reason for every no

After ten recorded refusals, a pattern almost always shows up: replies that take too long, quotes that are not detailed enough, a service area that is too wide. It is one of the most valuable pieces of information in your business, and it costs nothing.

When to use it : Right away, in three lines. Without bringing up the price again.

Find out why, with one question

When to use it : A few days later, a single multiple-choice question. The answer is worth more than a sales course.

Hello [first name],

Just one question, if you do not mind, so I can improve: what made the difference in your decision? The price, the timing, or something else?

A one-word answer is plenty, and it does not commit you to anything.

Reconnect a few months later

When to use it : Only with a real reason: the season, maintenance, something new. Never "just checking in".

Subject : An idea for your [job]

Hello [first name],

We talked about a quote this spring for [job]. [The concrete reason, for example: fall is the right time to have a new system checked], and I have openings in [month].

If that would be useful, just reply to this email.
